A spreadsheet is a brilliant place to start. It is free, flexible, and everyone knows roughly how it works. Most businesses run on one for years, and for a long time that is exactly the right call.
The problem is that Excel does not break loudly. It just quietly starts costing you time, orders and calm, until the spreadsheet is running the business instead of the other way around. Here are five signs you have reached that point.
1. Only one person really understands it
The spreadsheet has grown formulas, tabs and colour codes that live in one person's head. When they are on holiday or off sick, everyone else is guessing. A system that depends on a single person is a bottleneck with a name.
2. Orders slip through the cracks
An order gets missed, double-booked, or delivered late because it was noted in an email but never made it into the sheet. Each slip is a small cost, and they add up to real money and a few uncomfortable customer calls every month.
3. Nobody has a real-time overview
To answer “where is this order?” someone has to call the warehouse, check an inbox, and open three tabs. The information exists, but it is scattered, so the whole team spends the day chasing status instead of acting on it.
4. There is constant double work
The same number gets typed into the order sheet, the accounting system and an email. Two people edit the same file and overwrite each other. Every manual copy is a chance to introduce an error, and you are paying skilled people to do it.
5. You cannot grow without the chaos growing too
More orders should mean more revenue, not more panic. When taking on more work means more late nights in the spreadsheet, the spreadsheet has become the ceiling on how big the business can get.
